Turn an official deadline into a workable preparation plan
Track funding applications by recording the exact official deadline, scheduling earlier preparation tasks, and preserving the actual submission and response receipts. Use Finta Tasks for the work and a reviewed application register for the state of each opportunity. Keep the two connected through the program or provider ID.
A due-date task helps organize work. It is not proof of an application submission, an agency reminder or a guaranteed alert before the portal closes.
Keep the application states explicit

Do not advance an opportunity because a draft is saved or a document is shared. Each state should answer “What actually happened?” rather than “What do we hope happened?”
Set up deadline tracking
- Record the deadline source. Save the exact date, time, timezone, opportunity number and instruction URL. If a deadline is unclear or only appears in a third-party directory, verify it before treating it as authoritative.
- Plan earlier internal work. Create distinct tasks for eligibility questions, missing files, narrative review, budget review and authorized submission. Choose realistic internal target dates rather than setting every task to the closing date.
- Add useful task context. In Finta's Tasks panel, keep the official source and next action in the description. Attach supported contact, document or deal context where useful. Confirm the actual task date and owner after saving.
- Keep the application register updated. Use a reviewed document for opportunity-level states. Do not repurpose one contact's stage to represent several independent applications.
- Schedule follow-up from actual instructions. Use the provider's stated process or agreed next step. Do not generate an aggressive email sequence simply because no decision has arrived.
Ask Aurora to check the preparation plan
Review this application register and the official deadline instructions. Separate the external closing date from internal preparation dates. Flag missing timezones, ambiguous deadlines, incomplete owners and unsupported submitted/acknowledged states. Suggest a short next-action list. Do not infer submission, create tasks or send follow-up messages in this review step.
Use main chat for the plan. After reviewing it, create the approved tasks yourself or explicitly authorize supported task creation. Confirm saved tasks rather than assuming a suggested list became a schedule.
Illustrative result: four tasks, one real submission boundary
A fictional team has a verified call closing on a stated date and timezone. It chooses internal dates for source verification, narrative review and authorized final review. The last task says “Submit through the official route and preserve receipt.”
Before that task is completed externally, the register remains Preparing. After a genuine receipt exists, it can become Submitted. A later acknowledgment is recorded separately. This synthetic example intentionally does not name a current open call or invent an agency response.
Keep a receipt that proves the state
The working receipt shows the official deadline source, saved tasks and owners, outstanding work, application state and evidence for that state. Grants.gov's official guidance distinguishes its submission and tracking process. Use whichever official route governs your application.
When an amendment changes the deadline, update the register, review affected tasks and retain the amendment reference. If a system is unavailable near closing, follow the agency's published support instructions; a note in Finta does not extend the deadline.
Keep follow-up useful
Suppress unnecessary communication when the instructions ask applicants to wait. Ask a specific process question when the next step is unclear. Use the existing follow-up workflow for communication mechanics and the grant register recipe for program-level organization.
