Organize a grant opportunity around three things: the official program record, the people who can answer questions, and the work needed before an application. Finta can connect those pieces using CRM organizations and genuine contacts, a program register in Documents, and human-owned Tasks.

This separation matters when one agency administers several calls. A single organization's CRM stage cannot reliably represent three different application states. Keep each call as its own row in the register, then connect the conversations and tasks using the opportunity ID.

Build the register from official sources

  1. Save the specific call. Record the issuing organization, opportunity name and number, official URL, version or amendment date, and date checked. A directory listing is a starting point; the solicitation and application instructions govern.
  2. Check the applicant first. Identify whether the call accepts your legal entity, location and applicant role. A business eligible as a partner is not necessarily eligible as the lead applicant. Grants.gov directs applicants to confirm eligibility before beginning.
  3. Separate intake from preparation. Use research labels such as Open and verified, Closed, Future call to monitor, or Intake unclear. Keep your own work state in a different column: Evaluating, Preparing, Submitted, Acknowledged or Decided.
  4. Add genuine contacts. Search for an existing company and contact before creating one. If the published route is an agency form or shared mailbox, retain it as a route, not an invented staff member.
  5. Create the next useful task. Examples include checking a match requirement, obtaining an authorized signature, or confirming a partner's role. Put the exact source and unresolved question in the task description.

Check the handoff and application boundary

The receipt is a dated register with official links, distinct intake and work states, real contact routes, and tasks for unresolved requirements. A saved draft is not a submitted application. Use the route named in the solicitation; for Grants.gov applications, the official application guidance describes registration and Workspace submission.

If a deadline changes, update the register and review connected task dates. If a source disappears, retain the saved instructions and seek current confirmation. If no eligible route is supported, pause that opportunity rather than produce a persuasive but unusable application.
