Workflow
Coordinate LP Annual-Meeting Questions and Follow-Through
Prepare an LP meeting question register with source ownership, approved answers, disclosure boundaries and post-meeting actions.

- Audience
- Fund managers, Investor relations teams, Fund operations
- Products
- Aurora, CRM
- Prerequisites
- Approved meeting agenda and reporting pack, Permitted LP questions, Named finance, legal and IR reviewers
- Expected outcome
- A reviewed LP question register and an accountable post-meeting follow-up list.
- Approval boundary
- Fund professionals approve performance, valuation and legal answers. An authorized IR owner releases materials to the correct recipients.
Use Finta to organize the relationship work around an LP annual meeting: who asked what, which source supports the answer, who can approve disclosure and what follow-up remains. Ask Aurora to prepare the question register from approved meeting materials. Keep fund reporting, valuations and legal decisions with the people and systems responsible for them.
Before you start
This is a guided workflow using Finta relationship context and Aurora preparation, not a preinstalled specialist automation or a promise to connect to every external system.
- Approved meeting agenda and reporting pack
- Permitted LP questions
- Named finance, legal and IR reviewers
| Input | What to collect | Boundary |
|---|---|---|
| Question intake | LP, question, channel and date | Retain the original wording and access restrictions. |
| Reporting pack | Approved period, definitions and version | Do not mix quarters or unaudited and audited figures. |
| Source owners | Finance, investment, operations and legal reviewers | A relationship owner is not automatically the authority on every answer. |
| Distribution | Recipient list and permitted material scope | Confirm whether a response may go to one LP or the broader group. |
Run the workflow
1. Create a meeting preparation register
Record the date, agenda, approved pack version and coordinating owner. Attach permitted LP questions to the relevant relationships. Use one shared question register to avoid preparing inconsistent answers across email threads, but preserve the original source and recipient context.
2. Group themes without flattening differences
Ask Aurora to group questions into performance, portfolio, operations, governance and future plans. Keep individual question IDs. Two LPs may ask similar questions but be entitled to different information or need different context. Do not infer disclosure rights from the fact that a question was asked.
3. Map every answer to an approved source
Connect each draft to the reporting period, definition and authoritative owner. Flag inconsistent dates, missing figures and unsupported forward-looking statements. Do not let a summary recalculate a performance measure or turn a preliminary valuation into an approved one.
4. Rehearse the answer and escalation path
Prepare a concise answer, its evidence and the person who handles follow-ups. If the answer is not ready, agree on an honest follow-up process rather than improvising. Confirm what can be presented at the meeting and what should be handled privately.
5. Track commitments after the meeting
Capture the actual questions and promised follow-ups, then confirm owners and due dates. Keep a prepared reply, approved reply, delivered material and acknowledged receipt as separate statuses. Record the final source version used so later discussions can be reconciled.
LP question and follow-through register
The rows below are synthetic teaching examples. Replace them with the authorized facts and owners for your work.
| Question group | Source and owner | Release decision |
|---|---|---|
| Reported performance | Approved reporting period; finance owner | Use approved definitions and figures only |
| Portfolio update | Current authorized investment-team material | Confirm company confidentiality |
| Governance question | Relevant documents; counsel or authorized owner | Do not improvise legal interpretation |
| Post-meeting request | Named owner and agreed follow-up | Verify recipients and actual delivery |
Worked example
Synthetic example: an LP asks why a portfolio value differs from a prior update. The preparation register links both versions, records the periods and routes the question to the finance owner. Aurora can draft a chronology of the approved documents. It does not choose a valuation, calculate a replacement performance figure or conclude that the earlier report was wrong.
Handle gaps before completing the handoff
| If this happens | Next action |
|---|---|
| Reporting periods differ | Hold the comparison until the finance owner reconciles it. |
| Disclosure rights are unclear | Seek an authorized decision before sharing materials. |
| A statement is forward-looking | Request the appropriate wording and review. |
| Follow-up was only drafted | Keep delivery pending until there is an actual receipt. |
What counts as complete
A reviewed LP question register and an accountable post-meeting follow-up list.
Fund professionals approve performance, valuation and legal answers. An authorized IR owner releases materials to the correct recipients.
Retain the source versions, unresolved items, reviewer decisions and actual handoff receipt. If the outcome is only prepared, keep it labeled prepared. Do not report sending, submission, publication or resolution without the corresponding evidence.
Try it with Aurora, Claude or Codex
Copy this prompt and add only material you are authorized to use. In Aurora, use the context available in your Finta workspace. Other assistants need the relevant inputs supplied separately.
Prepare an LP annual-meeting question register from the approved pack and permitted questions.
Keep original question IDs and source references.
For each answer list the reporting period, evidence, authoritative owner and disclosure decision to confirm.
Flag conflicting figures, unsupported forecasts and missing permissions.
Return a rehearsal brief and post-meeting action list.
Do not recalculate performance, decide valuations or send materials.Review the result against the original sources before acting. A generated draft is not an approval or a completed external action.
