Startup Pitch Competition Tracker: Deadlines, Materials and Next Steps
Prepare for startup pitch competitions with a deadline tracker, materials checklist and pitch-readiness plan. Keep applications and finalist requirements distinct.

- Audience
- Founders preparing an independently selected pitch competition application
- Products
- Aurora, CRM, Documents
- Prerequisites
- Approved source context, Named workflow owner, Review of outgoing actions
- Expected outcome
- A source-linked competition record, owned preparation plan and truthful submission/next-stage state.
- Approval boundary
- The workflow owner confirms facts, recipients, permissions and final external actions.
Track startup pitch competitions with one source-linked record for each opportunity, its actual deadline and the materials your team must prepare. Use Aurora to assemble a checklist, then verify the organizer's rules before anyone submits an application.
This is a preparation workflow, not another competition directory. Start with opportunities you have independently selected. Our startup accelerator master list and startup grant guide support the separate opportunity-research task.
1. Capture the organizer's instructions
Save the official competition page, the cycle you are reviewing, application instructions and deadline with a time zone. Keep the page's published conditions separate from your interpretation of fit.
If a deadline is missing, label it unconfirmed. Do not reuse last year's date or treat a search-result snippet as the current application portal. A competition can have separate dates for application, finalist materials and the live event.
2. Copy this competition tracker
| Field | Required record |
|---|---|
| Competition and cycle | Exact organizer and current edition |
| Official source | Page or portal with instructions |
| Application deadline | Date, time and time zone, or unconfirmed |
| Conditions to verify | Stage, affiliation, geography and participation rules |
| Materials | Deck, short answer, video or other specified item |
| Team owner | Person responsible for the application |
| Review checkpoint | When claims and attachments will be checked |
| Submission state | Preparing, reviewed, submitted or confirmation received |
| Next stage | Organizer's actual invitation or request |
Use Documents for approved working materials and Finta CRM for organizer relationships and follow-up. Keep this tracker as a source document or supported workspace record; Finta does not automatically discover every competition or certify eligibility.
3. Ask Aurora to prepare the materials checklist
Read these current organizer instructions and the approved company materials. Create an application checklist with source links, deadlines, missing inputs and owners. Separate explicit rules from uncertain interpretations. Draft answers using only our evidence. Do not invent traction, decide eligibility or submit anything.
Aurora can organize provided context and supported sources. If the instructions are inaccessible, retain the gap and obtain a permitted copy rather than guessing.
Build a pitch-readiness plan, not just a deadline list
Competitions can require different versions of the same story: an application answer, a short video, a live pitch and a finalist question session. Keep one approved company fact set, then adapt the presentation to each actual requirement.
| Deliverable | Readiness check | What changes the state |
|---|---|---|
| Written entry | Answers fit the organizer's questions and length limits | Founder approves the final answers |
| Application deck | Correct version, readable without narration, permitted to share | Reviewer clears claims and attachments |
| Video pitch | Required length, format and submission route verified | Authorized owner checks the final recording |
| Live presentation | Actual time limit, speaking owner and rehearsal plan | Presenter completes a timed rehearsal |
| Finalist questions | Evidence behind the likely answers is available | Team reviews the answer brief |
Only prepare a finalist asset when the organizer requires it or your team deliberately chooses to practice. If a company fact changes, review every affected version rather than editing one slide and leaving the old claim in a video. For broader application scheduling, use our funding application tracker; this workflow adds the competition-specific presentation handoff.
4. Review a fictional two-deadline case
A competition requires an application on one date and a video only after finalist selection. The founder puts both items in the tracker but labels the video requirement conditional. This prevents an unnecessary rush to produce a finalist asset before knowing whether it is needed.
| Work | State | Next action |
|---|---|---|
| Company description | Drafted from current facts | Founder checks accuracy |
| Deck | Working version | Reviewer checks claims and sharing permission |
| Application | Not submitted | Authorized person performs the final submission |
| Finalist video | Conditional | Wait for an actual invitation |
Submitting is a real external action. The authorized person reviews representations, terms and attachments, submits through the organizer's portal and retains the actual confirmation.
5. Keep acceptance separate from preparation
Check that the source and deadline are current, materials match the instructions and a named person owns each next step. A completed checklist does not mean the application was submitted. Submission does not mean acceptance, and acceptance does not establish that a prize was paid.
Pause when instructions conflict, company claims cannot be supported or participation requires a commitment your team has not approved. Continue with the demo-day pitch guide once there is a confirmed presentation opportunity.
