Coordinate Security Questionnaire Answers With Source Owners
Turn a customer security questionnaire into a source-linked answer register with owners, review dates and clear release decisions.

- Audience
- Founders, Sales teams, Security response coordinators
- Products
- Aurora, CRM
- Prerequisites
- An authorized questionnaire, Current approved policies and evidence, Named technical and legal reviewers
- Expected outcome
- A question-to-source register and a human-reviewed customer response package.
- Approval boundary
- Control owners approve security assertions. An authorized person approves disclosure and submits the final response.
Use Finta to organize the people, source documents and follow-up behind a customer security questionnaire. Ask Aurora to prepare an answer register from approved materials, then route gaps to the person who can verify each claim. The finished output is a reviewed response package, not an AI-generated assurance about controls that have not been checked.
Before you start
This is a guided workflow using Finta relationship context and Aurora preparation, not a preinstalled specialist automation or a promise to connect to every external system.
- An authorized questionnaire
- Current approved policies and evidence
- Named technical and legal reviewers
| Input | What to collect | Boundary |
|---|---|---|
| Questionnaire | Version, customer, due date and requested scope | Preserve question IDs and the original wording. |
| Evidence | Approved policies, reports and product documentation | Record owner, date, scope and disclosure restrictions. |
| Prior answers | Previously approved responses | Treat them as candidates for review, not current proof. |
| People | Technical, privacy, legal and commercial owners | Confirm responsibility instead of inferring expertise from a job title. |
Run the workflow
1. Create a response brief
Record the customer, product scope, due date and accountable coordinator against the customer relationship. Keep the original questionnaire in its authorized location. Separate public documentation from restricted evidence so the team can discuss a question without automatically disclosing the underlying document.
2. Normalize questions without changing their meaning
Ask Aurora to group related questions and retain every original ID. A single approved policy may support several answers, but similarly worded questions can have different scopes. Flag requirements that refer to an entire company when the evidence covers only one service or environment.
3. Build the answer register
For each question, prepare a draft answer, source link, source date, evidence scope and owner. Use “not yet verified” when the evidence is absent. Do not let the model turn a planned control into an implemented control or a statement about one subprocess into a company-wide assurance.
4. Resolve exceptions with the right owner
Send the factual gap to the technical or policy owner through the team’s normal process. Ask a specific question: which environment is covered, which date is current or what supporting evidence exists? Track the response and reviewer decision as separate fields. A promised future fix does not validate a present-tense yes.
5. Review the export, not just the internal draft
Compare the final response with the original question IDs. Check that caveats, links and attachments survive the customer’s required format. An authorized reviewer decides what can be shared and submits it in the required portal. Record the actual submission receipt separately from “answers prepared.”
Question-to-evidence register
The rows below are synthetic teaching examples. Replace them with the authorized facts and owners for your work.
| Question ID and scope | Draft answer and evidence | Owner and release decision |
|---|---|---|
| Q-01, production access | Not yet verified; policy link pending | Security owner; hold |
| Q-02, approved product scope | Draft supported by current product document | Product owner; review required |
| Q-03, restricted audit evidence | Answer may cite report scope; attachment restricted | Disclosure owner; approval required |
Worked example
Synthetic example: a buyer asks whether all customer data is encrypted. The available policy covers one service but not an acquired environment. Aurora can identify the scope mismatch and prepare a question for the security owner. It cannot turn that document into a company-wide yes. The coordinator holds the answer until the owner supplies current evidence and approves the wording.
Handle gaps before completing the handoff
| If this happens | Next action |
|---|---|
| Missing or outdated evidence | Keep the answer unverified and assign a source owner. |
| Conflicting approved documents | Record the conflict; do not silently choose the more favorable statement. |
| Restricted report | Request a disclosure decision rather than uploading it to another tool. |
| Customer asks for a certification | Provide only an actual, approved certification and its scope. |
What counts as complete
A question-to-source register and a human-reviewed customer response package.
Control owners approve security assertions. An authorized person approves disclosure and submits the final response.
Retain the source versions, unresolved items, reviewer decisions and actual handoff receipt. If the outcome is only prepared, keep it labeled prepared. Do not report sending, submission, publication or resolution without the corresponding evidence.
Try it with Aurora, Claude or Codex
Copy this prompt and add only material you are authorized to use. In Aurora, use the context available in your Finta workspace. Other assistants need the relevant inputs supplied separately.
Prepare a security-questionnaire coordination register from the approved materials I provide.
Keep every original question ID and scope.
For each row: draft answer, source, source date, evidence scope, owner to confirm, and review decision.
Mark missing or conflicting evidence as unverified.
Never invent a control, certification or implementation date.
Do not disclose restricted documents or submit the questionnaire.Review the result against the original sources before acting. A generated draft is not an approval or a completed external action.
