Direct answer: A reviewed executive action queue that separates real commitments from discussion, attaches each item to source context, and makes ownership and timing explicit.

Who this workflow is for

Executive assistants, Chiefs of staff, Founders and executives. Use it when relationship context is spread across approved records, communication, meetings, and documents, but the final judgment still belongs to a person.

Execution mode and prerequisites

Reviewed executive-operations recipe. Aurora may identify candidate commitments and prepare summaries or drafts, but an authorized person controls interpretation, access, priority, assignment, and communication.

  • Permissioned inbox, calendar, meeting-note, or CRM context
  • A defined executive and delegate visibility policy
  • Named owners for commitments and follow-up
  • A review cadence for the executive action queue

Inputs, review boundary, and outcome

Run the workflow

  1. Choose the executive, time window, sources, and visibility boundary for the review.
  2. Identify candidate promises, requests, decisions, and follow-up items in accessible evidence.
  3. Distinguish explicit commitments from ideas, courtesies, conditions, and unresolved discussion.
  4. Resolve duplicates and confirm the person, relationship, owner, date, and confidentiality level.
  5. Add approved internal actions to the executive queue and prepare external responses as drafts.
  6. Review overdue and blocked items with the executive or authorized delegate on the agreed cadence.

Human approval boundary

The executive or authorized delegate confirms that an item is a real commitment, decides its visibility, assigns the owner and date, and approves any external communication.

Worked example

During a partner meeting, the executive says, 'I will introduce you to Maya by Friday.' The chief of staff confirms the statement in the notes, identifies the intended Maya and recipient, adds a Friday task owned by the executive, and drafts the introduction for review. A separate comment, 'We should explore Europe sometime,' remains a note because it is not a commitment.

Expected review receipt

  • Each action links to its supporting evidence
  • Explicit and inferred dates are labeled differently
  • The owner, visibility, and relationship context are confirmed
  • External drafts remain separate from approved sends

Decision checklist

  • The exact source and wording are available
  • The item is a commitment rather than an inference
  • The owner and visibility level are authorized
  • Dates distinguish explicit commitments from estimates
  • Duplicate tasks and already-completed actions are removed

Failure states and safe stops

  • The statement is aspirational or conditional rather than a commitment
  • The person or intended recipient is ambiguous
  • The source contains information outside the delegate's access scope
  • A duplicate or completed task already covers the item

Where Finta helps

In a supported, permissioned setup, Finta can organize the relevant CRM record, relationship history, connected or user-provided evidence, documents, and next-action workspace. Aurora can prepare a recommendation, summary, or draft. A person remains responsible for checking the evidence and approving consequential changes or communication.

What this workflow does not do

  • A transcription or summary can omit tone, conditions, or context.
  • Delegated access does not imply unlimited visibility or authority.
  • The workflow does not send, schedule, or assign externally without human approval.

Sources and review notes

This workflow is grounded in Finta's current CRM, Today, Aurora, inbox, and calendar product surfaces. The worked example is illustrative and does not claim a customer result.
