Requested documents form a layered supplier response while an unresolved evidence piece remains outside.
Audience
Founders, Customer-facing teams
Products
CRM, Aurora
Prerequisites
Approved source material, Authorized owner for consequential decisions
Expected outcome
Prepare a complete supplier response in the buyer's required format with accountable capability, implementation, security, commercial and legal answers.
Approval boundary
Keep legal, tax, investment and accounting matters as general education or routing questions, not individualized advice. Where applicable, preserve the current approved bottom informational disclaimer stating Finta is not a law or accounting firm and the reader should consult their attorney or accountant. Do not invent specialist review or reinstate a mandatory review gate the publisher expressly waived. Contract acceptance, pricing authority and official representations still belong to the responsible authorized humans.

An RFP response template should help a supplier answer the buyer's actual questions with a clear solution, delivery plan, commercial position and supporting evidence. Follow the buyer's required structure first. Use a generic template only to catch gaps, assign responsibility and prepare an accurate reply.

This guide includes a complete editable structure, a fully fictional supplier reply and a requirement-review workflow. A response matrix alone is not the proposal. It needs the explanatory sections, attachments and approved answers the solicitation requests.

Check whether you can submit a credible response

Before writing, identify the submission instructions, required format, deadlines, clarification process, mandatory conditions and evaluation criteria. Confirm that the opportunity fits your actual offering and available delivery capacity. If a required capability is absent, disclose the gap or ask a permitted clarification rather than imply that an enthusiastic proposal can make it exist.

Choose a response owner with authority to coordinate the work. Product, delivery, security, commercial and legal contributors should review their own representations. Keep a record of changes to the buyer's instructions. Do not bypass a portal requirement because your preferred document looks better.

Loopio's public response-template guidance covers the whole proposal, including capability evidence, solution, delivery, commercial information and supporting material. It also distinguishes a buyer-issued response from a proactive proposal. The original structure below is not a copy of its gated download.

Copy the complete blank supplier response

Reorder and rename these sections to match the RFP. Keep the buyer's question identifiers so reviewers can find each answer. A bracket is a field for an authorized person to complete, not permission for an AI system to invent a fact.

Worked reply: a fictional reporting-service proposal

This entire example is synthetic. Maple Operations and Cedar Services are fictional organizations. The offer, work effort, prices and source references below exist only to illustrate a coherent reply. They are not Finta pricing, customer evidence, approved contract terms or a recommendation for your bid.

In the example, Cedar's RFP requires five sections: A, understanding; B, requirements; C, delivery; D, commercials; and E, attachments. Cedar wants a pilot service that turns an approved monthly source file into a reconciled operations report. The supplier therefore follows those headings rather than inserting its own seven-section order.

A. Understanding and proposed scope

Maple proposes a single reporting pilot using Cedar's authorized test dataset. The output is one reviewable operations report, a source-to-output field register and an exception list. Cedar's named operations reviewer will check the report against the supplied totals and requested definitions.

Scope includes defining the report fields with Cedar, inspecting one agreed sample file, preparing a draft report, correcting one agreed review set and delivering a short operating note. It excludes a live system integration, ongoing managed reporting, data cleanup outside the sample and any commitment about Cedar's business performance.

The supplier's response contact is the fictional pilot lead. No customer references or certifications are asserted in this example. If prior-experience evidence is mandatory, that remains a real go/no-go condition, not a section to fill with a fabricated case study.

B. Requirement-by-requirement response

Buyer IDSupplier answerState and evidence
R1: Reconcile report totals to the approved sampleInclude a source-total comparison and show each unresolved discrepancy.Met in the proposed scope. Acceptance still requires the actual pilot test.
R2: Explain the output fieldsDeliver a source-to-output field register with definitions and transformation notes.Met in the proposed deliverables. Buyer must confirm ambiguous definitions.
R3: Connect continuously to the production databaseNot included. This proposal uses an authorized file supplied by Cedar. Not met. Buyer clarification is required if continuous access is mandatory.
R4: Complete a security review before data transferNo data transfer begins until Cedar and the supplier complete the required review and confirm the approved method.Pending evidence and authorized reviewers. No certification or completed review claimed.
R5: Accept the buyer's contract without changesThe authorized legal reviewer must assess the supplied terms. No acceptance is represented in this illustrative draft.Open clarification, not an AI-approved legal answer.

This is a complete account of the supplier's position, including the gaps. It is not a submission-ready response while mandatory conditions remain unresolved. If R3 is non-negotiable, the supplier should not disguise the file-based approach as a live integration.

C. Delivery, responsibilities and acceptance

MilestoneSupplier responsibilityBuyer responsibilityAcceptance evidence
ReadinessProvide the requested review information and identify the approved work environment.Confirm security/access requirements and authorized sample ownership.Named reviewers confirm readiness; otherwise work remains paused.
DefinitionDraft field definitions and identify inconsistent source values.Resolve business meanings and the required totals.Reviewed field register with unresolved items marked.
Draft reportPrepare the report and reconciliation evidence from the agreed sample.Supply the agreed sample through the approved method.Draft, source comparison and exception list available to the reviewer.
Review and handoverAddress the agreed correction set and provide the operating note.Check the result and accept or identify specific unmet criteria.Actual acceptance record or documented reasons it remains pending.

The parties agree milestone timing only after the security and data prerequisites are resolved. An unavailable source file moves the dependent review; it does not justify using an unapproved substitute. New requirements enter a written change review with scope, effort and responsibility assessed before acceptance.

The pilot lead owns routine questions. Suspected incorrect data or unauthorized access stops processing and goes to the named responsible owner. The proposed operating note explains where the report came from, what remains uncertain and how the buyer can reproduce the acceptance check.

D. Illustrative commercial schedule and exceptions

The fictional supplier illustrates its pricing basis as 10 hours of preparation and reporting plus two hours of handover, at an invented $100 per hour: 12 × $100 = $1,200 before any applicable taxes. This is not a market-rate claim. The actual approved quote would need its currency, tax treatment, validity and payment terms checked by the supplier's commercial and finance owners.

No additional integration or ongoing service is included. Optional work requires a separate approved scope and quote. Legal terms, data-handling obligations and payment conditions remain subject to the appropriate human review. This example does not propose language intended to protect either party legally.

E. Attachment index and submission state

AttachmentPurposeState in the illustration
E1: Proposed field-register structureShows how R2 will be documented.Illustrative template, not a claim that the pilot was delivered.
E2: Pilot acceptance checklistDefines how R1 and delivery milestones will be checked.Ready for buyer review within the example.
E3: Requested security informationAddresses the actual buyer's review.Pending authorized completion; no fabricated credentials attached.
E4: Approved commercial and legal responseConfirms R5 and the final offer.Pending responsible reviewers.

The final disposition is draft, clarification and review required. Nothing has been submitted. A supplier should either resolve the mandatory gaps through the allowed process or decide not to bid. A finished-looking document is not approval.

Coordinate the real response without losing answer ownership

  1. Save the buyer's current instructions and amendments as the response baseline.
  2. Assign each question to a responsible owner and distinguish product facts, proposed services, security assertions and commercial/legal decisions.
  3. Attach current evidence and mark partial or unknown answers honestly.
  4. Assemble the full narrative and required schedules in the buyer's order.
  5. Review contradictions across the summary, matrix, pricing, delivery plan and attachments.
  6. Check document access, required declarations, format, length and permitted submission method.
  7. Have the authorized person submit the approved version and record the actual receipt. A generated file or portal upload attempt is not confirmed submission.

GitLab's RFP process is a useful example of specialist routing and review, including product documentation and separate commercial responsibilities. It does not make the security team the author of the entire proposal. Loopio's response-writing guide provides broader structural context; the buyer's own instructions still control.

Give Aurora an evidence-checking job

Aurora in Finta can help organize authorized relationship context and prepare a working response. It cannot grant product availability, accept terms or certify a claim by writing confidently. Keep the external response draft-only until the relevant owners approve it.

Task
Draft the requested RFP response in the buyer's exact section order.
Preserve every buyer question ID.

Inputs
Use [buyer RFP and permitted amendments], [approved source library] and [authorized supplier facts].

Output
Link material answers to their sources and accountable owners.
Distinguish current capability, proposed scope, partial fit, unsupported requests and unknowns.
Flag contradictions, missing attachments and unapproved commercial or legal statements.

Constraints
Do not invent customer references, certifications, prices or delivery promises.
Keep the response as a draft for the responsible human reviewers.
Do not accept terms, send or submit the response, or change records.

Final quality and information notice

A reviewer should be able to find the answer to each required question, inspect its support, identify the accountable owner and explain what is still unapproved. If the response cannot pass that check, keep it private and resolve the gap.
