Build one useful record per opportunity

Start with the official job posting or application source. Keep each role distinguishable, even when you apply to several jobs at the same company. A company name alone will not tell you which deadline, recruiter, or resume version belongs to which application.

Use stages that tell the truth

Silence is not a rejection, an offer, or evidence of recruiter interest. Keep an application in its evidence-supported state and set a review date if you need to revisit it.

Give the tracker a review teammate

Application Review Teammate is a suggested Aurora responsibility. It should help find inconsistencies and prepare work, not submit applications or claim to have access to an employer's internal hiring system.

Review my application tracker against the sources I provide. Identify missing deadlines, unavailable posting links, outdated stages, promised materials, and follow-up that needs review. For each proposed update, show the evidence and one next action. Do not infer recruiter interest, mark an application submitted without a receipt, or invent a referral. Draft external messages for my approval and keep personal claims grounded in my actual experience.

Give the teammate a small set of active opportunities first. A clear record for five genuine targets is more useful than a huge list with no reliable next step.

Worked example: an interview email changes the board

Illustrative recruiting example: Priya's tracker still says Applied for a design internship. A recruiter email confirms an interview for next week and requests a portfolio link.

The useful AI return is a proposed correction: move the opportunity to Interview scheduled, record the confirmed time, add the portfolio request, and prepare a response for review. It should identify the email as the evidence.

The application is not complete just because the assistant drafted a reply. Priya checks the portfolio permissions, verifies the time, and approves the message. The teammate keeps the preparation visible afterward.

Keep the materials and people connected

Record the version you actually used. If you tailored a resume, keep the source and final version distinguishable. Do not let an assistant upgrade your role in a project, invent a skill, or create experience you cannot discuss in an interview.

UC Davis's career guidance on AI advises using it as a coach while checking that materials reflect your real experience and voice. That is a useful standard for the documents attached to your tracker.

A recruiter conversation, alumni coffee chat, and submitted application are different records of progress. Keep an actual referral separate from a possible relationship path. Asking an alum for advice does not establish that they agreed to refer you.

Run a short weekly search review

  3. What did I promise to send?
  4. Which role needs preparation before the next conversation?
  5. Which opportunity do I no longer want to pursue?
  6. What is the realistic first action this week?

Use the employer's stated communication expectations when deciding whether and when to follow up. Avoid an automatic message sequence that ignores a request not to contact the team or an application process that has already ended.

What this tracker does not replace

Continue using official application portals, campus recruiting systems, and employer instructions. This workflow does not assume a native Handshake connection or let Aurora submit assessments on your behalf.

Verify roles before providing personal information. Sensitive questions about work authorization, eligibility, or employment terms belong with the appropriate campus office or qualified adviser, not a generated conclusion. Your career center can also help interpret feedback and strengthen the search.
